ESBB and BBMRI-ERIC are committed to protecting and respecting your privacy in accordance with the applying Data Privacy Statement. BBMRI-ERIC and ESBB, being co-Organisers of this event, are also Joint Data Controllers for data processing. AIM Austria GmbH acts as Data Processor on behalf of the Joint Controllers.
DATA CONTROLLERS
a) Your data will be collected and processed based on the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (GDPR) and on the Austrian Data Protection Laws (Austrian Data Protection Act and the Austrian Telecommunications Act 2003).

DATA PROCESSOR
In accordance with Article 28 of the GDPR, the Joint Controllers have appointed AIM Austria GmbH as Data Processor. It will be contracted as professional conference organiser (PCO) by BBMRI-ERIC and ESBB. The Data Processor does not make use of automated decision-making tools to process your data.
TYPES OF DATA COLLECTED
The Joint Data Controllers process, collect and store the following categories of personal data, as defined by the GDPR: “Contact data” meaning “names, surnames, addresses, telephone numbers, e-mail addresses”
Other collected data are: IBAN, BIC, Contract Data.
We do not process sensitive data.
If you provide us with personal data on behalf of someone else, you must ensure, in advance, that the interested parties have read this Privacy Notice.
We ask you to help us keep your personal data by informing us of any change it might occur.
PURPOSES FOR DATA PROCESSING AND LEGAL BASES
We process and store from you the data for the following purposes and with the following legal bases:
- for registration purposes, on the basis of your freely given and informed consent. You have the right to withdraw consent at any time by emailing hello@europebiobankweek.eu.
- for ensuring a smooth operational process during the congress, for a computerised handling of the congress and for managing our business relationship with you (for example, customer services and support activities), on the basis of our legitimate interest
- for sending you ESBB/BBMRI-ERIC news and updates, on the basis of your freely given and informed consent. You have the right to withdraw consent at any time by emailing hello@europebiobankweek.eu.
- for internal and external communications purposes, e.g., for publicity and promotional materials, for presentation and exhibition materials, for websites, social media channels and digital communications materials, for news media and their associated websites, social media channels, print publications, television and radio (media consent) on the basis of your freely given and informed consent. You have the right to withdraw consent at any time by emailing hello@europebiobankweek.eu
- for answering your requests, when you contact us through the form on the page https://www.europebiobankweek.eu/contact/, on the basis of your freely given and informed consent
- for compliance with our legal obligation and for complying with requests from law enforcement authorities and/or regulatory bodies, on the basis of law provisions
DATA STORAGE AND SECURITY MEASURES
The collected data will be stored in BBMRI-ERIC’s and ESBB’s secure servers during the entire period of the EBW25 Congress. BBMRI-ERIC and ESBB apply security measures to ensure an adequate protection for such personal information.
DATA RETENTION
As for data collected for purposes under a), b) and e) above, consider that these data will be stored for the whole duration of the EBW25 Congress, and will be deleted by the Joint Data Controllers as soon as storage is no longer necessary and after VAT retention periods have expired. Of course, you have the right to withdraw consent at any time by emailing hello@europebiobankweek.eu but understand that this may affect your registration process and other services during the Congress.
As for data collected for purposes under c), they will be stored until you withdraw your consent.
As for data collected for purposes under d), the Joint Data Controllers will store them for two years. Please take into account that data already used for publicity or marketing purposes are in the public domain and therefore could potentially be reproduced, altered, or re-used by anyone in the world outside of the Joint Controllers’ control.
As for data collected for purposes under f), they will be deleted when your personal information will no longer be needed by the Data Processor and Joint Data Controllers and by law enforcement authorities and/or regulatory bodies.
DATA SHARING AND TRANSFERS
Your data will be passed on to the Data Processor, strictly for the purposes set out in the contract between the Joint Data Controllers and the Data Processor. Passing on to third parties will only take place if you give your explicit consent or if the data is requested from law enforcement authorities and/or regulatory bodies.
YOUR RIGHTS
You have the following rights with respect to the personal data concerning you: Right to information, correction, deletion, limitation of processing, objection to processing and the right of data portability.
